Private Equity & Portfolio Companies

Turn a portfolio priority into a measurable release.

We work with PE operating partners and portfolio-company management on manual workflows, fragmented reporting, aging software and customer journeys. Start with one company and a defined operating problem. Establish the baseline, deliver a scoped improvement and use the result to decide whether it belongs elsewhere in the portfolio.

Connect reporting across brands and locations.

Xivic extended Driven Brands’ operational dashboard with brand and location integrations, scheduling functionality and metric-source documentation. The work addressed the reporting differences that a shared platform has to support.

Make a complex advisory offer easier to understand.

CFGI advises finance leaders and private capital firms across a broad range of business needs. Xivic redesigned its homepage and navigation and built dedicated Private Capital and AI in Finance pages, giving those priorities a stronger presence on the website.

Choose an operating problem with an owner.

The operating partner

Set the priority and the investment test.

Identify the company, the decision or workflow to improve, and the measure that makes the work worthwhile. Agree what evidence management needs before committing to a build or expanding the approach.

Portfolio-company management

Bring the process and its constraints.

The people doing the work help identify exceptions, review actual inputs and test the release. A named business owner makes decisions about the process; technology and security owners confirm access and implementation constraints.

Define the value before choosing the technology.

Manual processing

For work that begins in emails or documents, measure handling time, rework and exception volume. A first scope might prepare a structured record for review, with source material retained and an owner for corrections.

Fragmented reporting

When teams disagree on a number, resolve source systems, metric definitions and access rules first. The output may be a connected report with documented calculations before an AI interface is useful.

Software or buying friction

Identify the user task that is failing: completing a product workflow, finding a location or submitting a qualified inquiry. Define the release around that task and measure completion alongside downstream quality.

Leave assessment with a scope management can act on.

An initial assessment should produce a workflow and systems map, a baseline with known measurement gaps, a prioritized first release and the dependencies that affect cost and timing.

  • Inputs and access Representative records, source-system owners, integration options and data restrictions.
  • Operating design The automated steps, human decisions, exceptions and person responsible for each handoff.
  • Release plan Deliverables, acceptance criteria, review responsibilities and a practical sequence for testing and rollout.
  • Investment decision What to build, what needs more evidence and what should wait.

Measure operating value without overstating it.

Time released and cost removed are different results. Track handling time alongside correction effort, throughput and adoption. If the goal is cash savings, identify which actual expense changes and when.

For a customer journey, track the quality of completed inquiries or bookings alongside volume. For a shared reporting system, verify that teams can reconcile the number to its source before adding more dashboards.

Expand only when the next company fits.

Deliver the first release

Build against agreed acceptance criteria, test exceptions with the team and confirm who operates the system after handover.

Review what changed

Compare results with the baseline and include support, model, infrastructure and review costs. Resolve adoption and data-quality problems before scaling them.

Check what can be reused

Another company may share the problem but have different software, permissions or operating rules. Separate reusable components from the integration and process work each company still needs.

Which portfolio priority needs a delivery plan?

Bring one company, the process or customer journey that needs to change, and the measure you care about. We will discuss the evidence available, the systems involved and whether a focused assessment is the right next step.
